The Colorado Equine Clinic and the Small Animal Clinic at CEC are collaborative privately-owned businesses that are accepting applications for a Client Services Representative (CSR). The CSR’s job would be to provide excellent customer services to our clients while fulfilling our mission statement--“To provide the highest quality of veterinary medicine while treating our patients with compassionate care and offering people respect, integrity and understanding.” We are an established equine practice that has been in our current location for over 25 years and we have a brand-new small animal clinic that opened in August 2019. We are looking to hire an experienced and motivated CSR that will help improve our client’s experience with our clinic and improve our quality of care for our patients. This is a great opportunity to help develop the new small animal clinic from the ground up while maintaining and improving the equine clinic.

This position would be pivotal to the clinic’s success. Your ability to listen to and communicate with clients, animals, and to speak with the client with confidence will result in client satisfaction, continued visits to our clinic, and trust in us as we treat and care for their pets.

We are looking for a part-time CSR to work Mondays, Wednesdays and Fridays, approximately 27 hours per week (Mon-Fri).
Salary is based on experience: $11.50-14 per hour

Responsibilities and Duties
You would be responsible for:
Answering incoming telephone calls, determining purpose of callers, and forwarding calls to appropriate personnel or department or responding independently when possible.
Coordinating appointments and schedules for the veterinarians and technicians. We work out in the field so efficient scheduling is critical to office efficiency.
Welcoming visitors and clients and getting them checked in and into the system if necessary.
Acting as custodian of the front office and main office area to ensure the cleanliness and ambiance of the office areas (this includes the front office and bathroom).
Checking email and responding in a timely manner to all business-related email.
Sending out invoices to clients, processing payments and updating client files in a timely manner.
Coordinating and arranging meetings, preparing agendas and recording meeting minutes.
Creating and maintaining databases and spreadsheet files as requested.
Maintaining office machines and equipment. Includes training of all staff members on the use of all administrative equipment such as the copier and phone systems.
Ordering and receiving office supplies and arranging for equipment and building maintenance.
Performing other clerical duties as needed, such as filing, photocopying, and collating.
Interacting with the clients both in a social and an educational way

Candidate must have excellent client communication skills
Experience with HVMS is a plus
Valid Colorado Driver’s license and reliable transportation is required.
High School Diploma, or equivalent, is required and advanced education is preferred
Minimum of one (1) year experience in an administrative/receptionist position.
This position interacts with customers, vendors and the general public. Therefore, a neat and business-like personal appearance is required.
Horse experience and knowledge is required as much of the communication will be related to horses
